Terms & Conditions

This page contains the Terms and Conditions that apply anytime you (also referred to as the "client", "consumer", or "customer") purchase or engage with services from Personal Trainer Sarah Louise (also referred to as "I" or "me"). This clarification is intended to provide clear attribution throughout the Terms and Conditions, ensuring a transparent understanding of roles and responsibilities between Sarah Louise and the client.

1. Online Coaching 

 

1.A Service

  • Online Coaching is an online service where you will be personally coached on how your workouts, nutrition and lifestyle should be to reach the goals you want. You will receive personalised training plans, as well as weekly check-ins and personalised nutrition advice.

1.B Contract and Commitment to Online Coaching

  • The minimum commitment for Online Coaching is 3 months, unless anything else has been agreed on beforehand and clearly stated in writing. All payments for these months must be paid regardless.

  • When your minimum contract is up the subscription will automatically continue on a monthly rolling basis until cancelled, subject to the cancellation policy.

  • If you are under the age of 18, written consent from your legal guardian must be provided before starting Online Coaching.

1.C Payment for Online Coaching

  • Before starting Online Coaching, a payment link will be sent to you where you can pay for the first month. The payment details you provide here, will be the details used every month when paying for your subscription. These can be changed at anytime.

  • By setting up your payment details and paying for the first month of coaching, these Terms and COnditions are considered reviewed and accepted.

  • Each month your subscription will be charged 1-2 days before your monthly start date. For example, if you start coaching on March 18th, your subscription will charge every month on the 16th-17th.

  • All payments must fall within the payment due date.

  • You are liable for keeping your payment details and information up to date.

  • If the payment fails, the system will retry payment after three (3), five (5) and seven (7) days. If your payment still fails after the three (3) re-tries, and a valid written reason hasn't been given, your case will be sent to a debt collector. Additional fees may apply here.

1.D Pause or cancel Online Coaching

  • You can freeze Online Coaching for up to thirty (30) days by giving written notice no later than 5 days before the desired pause date. You are not charged for the days your contract is paused. You can pause multiple times during our coaching period, as long as there is minimum 14 days of coaching in between each pause.

  • You are free to terminate your contract after the 3-month minimum according to the cancellation policy described here;

    • There is a one (1) month cancellation policy which means if you give notice on August 11th, your contract will end on September 11th.

    • If you wish to terminate your contract, you must give written notice or mention it on one of our check-in calls.

  • ​If you wish to terminate your contract before the minimum contract is up, you must pay all remaining payments.

  • Online Coaching can not be transferred to someone else as everything provided to you throughout coaching, is personalised.

  • Any coaching you have paid for, but somehow now used, is valid for thirty (30) days. If I have not heard from you within those 30 days with arrangements to make use of the coaching, it is considered to be expired. â€‹â€‹

1.E Right of return for Online Coaching

  • If you have bought Online Coaching, you have the right of return for up to 14 days from the first purchase date unless coaching has already started. If you are within the 14 days and coaching has already begun, the amounts already paid will not be refunded but all future payments will be stopped.

1.F Disclaimer for Online coaching and all Online Services

  • Online Coaching, as well as meal plans, training plans and other services bought online is carried out at your own risk.

  • While I, as a personal trainer, am committed to improving the physical well-being of my clients, it should be noted that I am not a qualified medical professional, psychologist, dietician, or mental health expert. I do not possess the necessary qualifications to diagnose or treat diseases, injuries, eating disorders, or mental health issues. If my clients experience such challenges, I strongly encourage them to seek assistance from a relevant qualified healthcare professional. My role focuses on physical training and nutrition that supports your goals, and I am happy to collaborate with experts to ensure comprehensive support.

  • If you have current health issues, injuries, eating disorders, or similar conditions, please communicate this clearly before starting Online Coaching or any other online services with me. It is also advisable to consult a healthcare professional who can confirm that it is safe for you to engage in workouts. I, Sarah Louise, cannot be held responsible if exercise or dietary recommendations worsens any existing health issues, injuries, eating disorders, or similar conditions, especially if this information is not clearly communicated before the commencement of Online Coaching.

  • I retain the right to use pictures and statements you send me for social media, website & promotion (I will always ask before sharing and I will never share your name or face without your consent).

2. Online Accountability Partner (and other online services)

​

2.A Service

  • Online Accountability Partner is an online service where we'll be in contact via text throughout the week. I will monitor your progress and help hold you accountable to the goals you set yourself. No personalised advice, training plans or meal plans will be given here, it is purely written accountability.

  • Meal plan is a service where you will get a fully personalised nutrition plan to help you reach your goals, as well as personalised nutritional guidance on adjustments you should make to achieve these goals.

2.B Contract and Commitment to Online Accountability Partner

  • The 8 Week Accountability Partner plan and 10 Week Accountability Partner plan is a one time purchase and is valid for the period stated in the plan. This can be purchased as many times as you'd like to extend your plan.

  • The Monthly Accountability Partner plan has a two (2) month minimum contract. 

    • ​All payments for these months must be paid regardless.

    • When your minimum contract is up the subscription will automatically continue on a monthly rolling basis until cancelled, subject to the cancellation policy.

2.C Payment for Online Accountability Partner

  • The 8 Week Accountability Partner plan and 10 Week Accountability Partner plan is a one time purchase and payment is charged when signing up for the plan.

  • The Monthly Accountability Partner plan is a monthly subscription. Payment is made for the first month, when signing up for the plan. The payment details you provide here, will be the details used every month when paying for your subscription. These can be changed at anytime.

    • Each month your subscription will be charged on the day you sign up for the plan. For example, if you sign up on March 18th, your subscription will charge every month on the 18th.

  • All payments must fall within the payment due date.

  • You are liable for keeping your payment details and information up to date.

  • If the payment fails, the system will retry payment after three (3), five (5) and seven (7) days. If your payment still fails after the three (3) re-tries, and a valid written reason hasn't been given, your case will be sent to a debt collector. Additional fees may apply here.

2.D Pause or cancel Online Accountability Partner

  • Online Accountability Partner plans cannot be paused.

  • The 8 Week Accountability Partner plan and 10 Week Accountability Partner plan will expire when the length of the plan is over. If you wish to renew the plan, you can do so.

  • The Monthly Accountability Partner plan can be terminated after the 2-month minimum contract according to the cancellation policy described here:

    • ​There is a one (1) week cancellation policy, which means if you give notice on a Wednesday, your contract will end on the following Wednesday.

    • If you wish to terminate your contract, you must give written notice.

    • ​If you wish to terminate your contract before the minimum contract is up, you must pay all remaining payments.

  • Your Online Accountability Partner plan can not be transferred to someone else.

  • Any online services you have paid for, but somehow now used, is valid for thirty (30) days. If I have not heard from you within those 30 days with arrangements to make use of the coaching, it is considered to be expired.

2.E Right of return for Online Accountability Partner and other Online Services

  • If you have bought an Online Accountability Partner plan, you have the right of return for up to 14 days from the purchase date unless the plan has already started. If you are within the 14 days and the plan has already begun, you will be refunded for the days still available in the plan. For example, if you have purchased the 10 Week Accountability Partner plan (70 days), and you claim your right of return after 12 days, you will be refunded for the remaining 58 days.

  • If you have bought other online services (meal plan or training plan) you have the right of return for up to 14 days from the purchase date on the condition that you have not already received your purchased product/service. After receiving the purchased product/service, no refunds can be made.

3. Personal Training (in person)

​​

​3.A. â€‹Services 

  • Personal Training is in-person training where you will be instructed through exercises and a good workout. 

  • You have the right to a free intro consultation where we can meet each other, talk about your goals and you can see the workout facilities.

  • All sessions take place in Copenhagen, Denmark. A personal training session is 60 minutes and includes warm up, the workout itself and cool down. Please arrive dressed and ready for training. You are also welcome to warm up on your own before training or stretch yourself after training. 

  • A month of training is considered to be 4 weeks, That means:

    • with 1x personal training per week you will get 4 sessions,

    • with 2x personal training per week you will get 8 sessions,

    • with 3x personal training per week you will get 12 sessions.

​3.B. â€‹Payment for Personal Training (in person)

  • Before starting Personal Training, an invoice for the first month of sessions, will be sent to you. Your invoice must be paid no later than 3 days before your first session.

  • An invoice is sent out for each block of sessions and is paid via bank transfer to the payment details listed on the invoice. If you have any comments to the invoice or these Terms and Conditions, please mention these no later than 5 days after you have received the invoice. By paying your invoice, these Terms and Conditions are considered to have been accepted.

  • All payments must fall within the payment deadline listed on the invoice. Fees may apply if payment is made too late.

​3.C. â€‹Cancellation policy for Personal Training (in person) 

  • We will, of course, pause your sessions if you are on holiday

  • If you wish to cancel or reschedule a workout, please give as much notice as possible. My cancellation policy is as follows: 

    • With more than 48 hours notice: The session is rescheduled to another day og cancelled completely. No payment is charged.

    • With between 48 and 24 hours notice: We will attempt to reschedule the session to another time in the same week, if there are any free slots. If there are no free slots that week, a cancellation fee of kr. 300 is charged.

    • With 24 hours notice or less: The session is cancelled and will not be rescheduled. Full payment for the session is charged.

​3.D. â€‹Stopping personal training (in person) 

  • If you wish to stop personal training, please give written notice. You can, of course, also naturally stop personal training when all your purchased sessions have been used.

​3.E​Right of return and valitidy for personal training (in person) og gyldighed ved personlig træning

  • Your sessions are valid for ninety (90) days from the purchase date and must be used within this time, otherwise they are considered to be expired.

  • If you have bought personal training you have the right of return for up to fourteen (14) days from the first purchase date. If you are within the fourteen (14) days and coaching has already begun, the amounts already paid will not be refunded but all future payments will be stopped.

  • You can transfer some or all of your remaining sessions to someone else if you wish. This is done by arranging with Sarah Louise.

​3.F. ​Disclaimer for personal training

  • Personal training is carried out at your own risk.

  • Even though I, as a personal trainer, am committed to improving the physical well-being of my clients, it should be noted that I am not a trained doctor, psychologist, certified nutritionist or mental health professional. I do not possess the necessary qualifications to diagnose or treat diseases, injuries, eating disorders or mental health problems. If my clients experience such challenges, I strongly encourage them to seek help from qualified health or mental health professionals. My role focuses on physical training and diet that supports your goals, and I will happily work together with other health professionals to ensure full support for you

  • If you have current health problems, injuries, eating disorders or similar, please clearly communicate this before starting personal training. It is also recommended that you consult a healthcare professional who can confirm that it is okay for you to start personal training. I, Sarah Louise, am not responsible if the sessions lead to worsening of your current health problems, injuries, eating disorders or similar, especially if this is not clearly communicated before our first session.

4. GDPR​

  • Before starting coaching (online and in-person) or receiving a meal plan you will be sent a questionnaire so I can prepare your personalised training plan and guidance. I will only ask for relevant and necessary information. If there is anything you do not wish to answer, please let me know.

  • During coaching (online and in-person) I will write down personal information such as your weight, height, muscle mass, measurements, pictures etc. This is used to help give you the best possible advice and progress during coaching.

  • All the information I have on you is stored in a private folder on my laptop that requires a password to access.

  • Your personal folder is saved for up to 24 months, in case you should wish to start coaching again. However, I retain the right to save your before/after pictures and testimonials for an unlimited amount of time.

  • If you ever wish to have your pictures removed or deleted, please let me know.

  • Your name and email will be saved to my newsletter list, and you may be sent promotional emails from me about my services. You can unsubscribe from this at any time.

5. Additional comments

  • The Terms and Conditions written on this page (www.sarahlouisetraining.co.uk/terms) are the most up-to-date and will therefore always overrule any Terms and Conditions you have previously received or can find attached to your monthly invoice.

Changes to the Terms and Conditions

  • ​I may modify or update these Terms and Conditions from time to time, so please review it periodically. You can always see the date of the last update at the top of this page. I may provide you additional forms of notice of modifications or updates as appropriate under the circumstances. Your continued use of personalised coaching, training plans or meal plans after any modification to these Terms and Conditions will constitute your acceptance of such modifications.

Force Majeure

  • ​In the event of unforeseen circumstances beyond our control, such as illness, natural disasters, or other force majeure events, the implementation of online programs or personal training may be affected. In such cases, I, Sarah Louise, will work together with you, the client, to find appropriate solutions and potentially reschedule training sessions or coaching.

​

Conflict resolution

  • ​If disagreements or conflicts arise between me and the client, I am dedicated to resolving them in a fair and constructive manner. We will strive to reach a mutual resolution through dialogue and collaboration.
